The platform runs on your infrastructure, connected to your domain. Your customer data, bid history, financials, and documents never leave your building. We come to you, set it up, train your team, and support you from there.


The annual license ($10,000/year)

This is the cost of running LandscapeBid on your servers for a full year. It covers:

Software license. The right to run LandscapeBid on your hardware for the licensed year.
Every feature update we ship. New reports, new integrations, UI improvements. Deployed to your server as they're released.
Bug fixes and security patches. Reported issues are handled in house at no additional cost.
Unlimited users. Your whole team. No per seat pricing.
Email support. Monday through Friday, 8 AM to 6 PM ET.

What the $25,000 onboarding fee covers

This is a one time fee paid at the start. Here is exactly where that money goes.

Travel and on site setup

We fly to your location anywhere in the continental United States. Round trip airfare, hotel, rental car, and per diem for the setup engineer. Typical on site visit is 2 to 3 business days depending on complexity.

Server provisioning

We install and configure the application on your server or cloud environment (Windows Server with SQL Server, or Linux with Docker). This includes the web server, database, SSL certificates, DNS configuration, firewall rules, and backup schedules. If you don't have a server, we help you select and set up the right hosting provider.

Domain configuration

We connect LandscapeBid to your custom domain (for example bids.yourcompany.com). DNS records, SSL provisioning, and HTTPS enforcement are handled for you.

Data migration

If you are coming from a Pilot instance, your existing customers, bids, invoices, and pricebook items migrate over automatically. If you have data in spreadsheets or another system, we help you import it via CSV during the onboarding visit.

Team training

Hands on training with your team during the on site visit. We walk through the entire workflow: setting up the pricebook, creating bids, sending proposals, managing customers, invoicing, recording payments, and reading reports. We train admins separately on user management, settings, and QuickBooks integration.

Integration setup

We configure your SMTP email settings, connect QuickBooks Online if you use it, and set up Finix payment processing if you want to accept online payments. Each integration is tested end to end before we leave.

30 day post launch support

For the first 30 days after go live, you get priority support. Phone and email. If something doesn't work right or your team has questions, we're on it immediately.

Payment and renewal

Year one total: $35,000 ($25,000 onboarding + $10,000 license). Due before the on site visit is scheduled.

Year two and beyond: $10,000/year. No onboarding fee on renewal. Invoice sent 60 days before your anniversary date. Net 30 terms.

Payment methods: Wire transfer, ACH, or company check.

If you don't renew: Your instance continues to run with the last deployed version of the software. You keep your data. You stop receiving feature updates and support. There is no penalty, no data deletion, and no lockout.

What you need on your end

A server. Either a physical server at your office, a cloud VM (Azure, AWS, or any VPS), or a dedicated hosting provider. Minimum specs: 4 CPU cores, 8 GB RAM, 100 GB storage. We help you choose if you're not sure.

A domain name. You can use a subdomain of your existing domain (bids.yourcompany.com) or register a new one. We handle the DNS configuration.

An internet connection. For the server to be accessible to your team. If your team works from job sites, the platform works as a Progressive Web App with full offline support.

Custom development

Self Hosted license holders can request custom feature development at $175/hour with a 25 hour minimum engagement.

This covers things like custom reports, workflow modifications, third party integrations, or industry specific features that aren't part of the standard platform. We scope the work, give you a time estimate, and get your approval before we start.
