You run it like it's yours, within the usage caps below. When you outgrow the caps, upgrade to Self-Hosted ($3,000/year + $15,000 onboarding) and we'll move you to your own infrastructure.

Pilot usage caps
Because we host and pay for your instance, Pilot includes usage caps. These are enforced by the software itself — when you hit a cap, the corresponding "create" action will prompt you to upgrade or wait for the monthly reset. If you need more, Self-Hosted ($3,000/year + $15,000 onboarding) removes every cap — you run the server on your infrastructure.

Monthly caps reset at 00:00 UTC on the 1st. Cumulative caps (users, customers, properties, storage) reset only when you remove data. Password-reset and 2FA emails do not count toward the email cap.

Call us. We walk through your operation, answer your questions, and confirm the Pilot is the right fit. No pressure, no upsell.

Payment. $8,000 upfront via wire transfer, ACH, or check. Payment is due before provisioning begins.

We set you up. Within 48 hours, your subdomain is live. We create your admin account, load your company info, and walk you through the basics over a video call.

You run your business. Build bids, send proposals, track customers, create invoices. Use it like it's yours, within the usage caps above.

At the end of your paid year, you decide. Renew Pilot, upgrade to Self Hosted ($3,000/yr + $15,000 onboarding, no caps) to run it on your own infrastructure, or walk away. Your data migrates with you. If you choose not to continue, your instance is decommissioned and your data is securely deleted.
Terms
Duration: 12 months from the date your subdomain goes live. Renews annually.
Payment: $8,000 due in full before provisioning. Non-refundable once your instance is provisioned.
Data: All data you enter belongs to you. If you upgrade to Self-Hosted, we migrate it to your infrastructure. If you don't renew and don't upgrade, we securely delete everything within 30 days of account lockdown.
Usage caps: Enforced in-app (see table above). Hitting a cap prompts an upgrade or waits for the monthly reset. Caps are configured per-instance and can be raised on request.
Support: Email support during business hours (Monday through Friday, 8 AM to 6 PM ET). Bug reports addressed within 48 hours.
Upgrades: You can upgrade to Self-Hosted at any point. The Pilot fee is not credited toward the upgrade.
If you don't renew or pay: You receive a 30-day written notice at your anniversary date. If payment is not received by the end of that grace period, the account is locked down — the application stops serving your users, outbound emails pause, and admin access is disabled. Your data is not deleted during the grace period. Reinstating the license and settling the outstanding invoice restores access immediately.
What you need on your end
A computer or phone with a browser. That's it. We host everything. You don't need a server, a domain, or any technical setup. Open a browser, go to your subdomain, and start working.
Your pricebook. A list of the services and materials you offer with your costs. You can type them in manually or import a CSV. Even a rough spreadsheet works. We'll help you get it loaded during the onboarding call.
Your customer list. Optional but recommended. Import your existing customers via CSV so you can start sending bids right away instead of adding them one by one.
